Privacy Policy

Last updated July 2026

This Privacy Policy explains how the Career Hub by Edverum AI career-services platform (the "Service") collects, uses, and protects information when provided to your educational institution. The Service processes personal information under the direction of your institution and in accordance with the Family Educational Rights and Privacy Act (FERPA).

1. Information we process

  • Institutional roster data supplied by your institution (name, contact details, program, campus, cohort, enrollment and graduation information).
  • Career-services activity you generate in the Service (résumés, cover letters, applications, interview practice, appointments, and staff interactions).
  • Self-reported details you choose to provide (employment status, licensure progress, location for distance-based job matching).
  • Technical data needed to operate and secure the Service (authentication and log data).

2. Education records and FERPA

Student information in the Service constitutes "education records" under FERPA. The provider processes these records only as a "school official" with a "legitimate educational interest," solely to deliver the services your institution has authorized, under your institution's control. Education records are not sold, are not used for advertising, and are not disclosed except as permitted by FERPA and your institution's policies. Students may exercise their FERPA rights — including inspecting and requesting amendment of their records — through their institution.

3. How we use information

Information is used to provide career-services functionality: building and reviewing résumés, matching and surfacing jobs, scheduling and conducting advising, tracking readiness and outcomes, and enabling authorized staff to support students. Aggregated, de-identified information may be used to operate and improve the Service.

4. When information is shared

  • Authorized institutional staff (career-services officers and administrators) acting in their official roles.
  • Service providers engaged to operate features (for example hosting, video-interview, or messaging providers), bound by contract to process data only on documented instructions and to protect it.
  • Employers only through actions you initiate — for example when you choose to apply to a role, which may direct you to the employer's own site governed by their privacy practices.
  • Legal compliance where required by law or to protect rights and safety.

Where enabled, we use Google Analytics to understand aggregate usage of the Service, with Google Signals and advertising personalization disabled. No education records or identifiers are sent to Google: page addresses are stripped of query text and of identifiers such as record numbers and access tokens, page titles are never transmitted, and the addresses of pages you arrived from are not shared. Google processes this limited, de-identified usage data as a service provider under a data-processing agreement, not for advertising.

5. AI-assisted features

Some features (for example résumé and cover-letter assistance) may use AI models to generate suggestions. Where such features are enabled, only the information necessary for the requested task is processed, consistent with your institution's data-processing agreements; content is not used to train third-party models.

6. Retention and security

Information is retained for as long as needed to provide the Service and to meet your institution's recordkeeping requirements, then deleted or de-identified. The Service uses administrative, technical, and physical safeguards — including access controls scoped to each institution and role — designed to protect information. No method of transmission or storage is completely secure.

7. Your choices

You can review and update much of your profile information within the Service. Requests to access, correct, or delete education records are handled by your institution under FERPA. For questions or requests, contact your institution's career-services office.

8. Changes to this Policy

This Policy may be updated from time to time; material changes will be communicated through your institution or the Service.
